About the role
The Client Success & Operations Coordinator is the role that makes everything else run. You'll own the operational layer of our client engagements — scheduling, onboarding, project status tracking, client communication, and internal process management. In a growing services firm, this role has enormous leverage, and we're looking for someone who understands that and treats the work accordingly.
You don't need a technical background in cloud infrastructure, but you need to be genuinely organized, a strong written communicator, and comfortable working with clients who are often navigating unfamiliar technical territory. You'll be the person they hear from most frequently, and your judgment about how to represent the company matters.
This role also has a process-building component. We're a small team and we need someone who will identify where we're doing things inefficiently and build better systems — not wait to be asked.
What you'll do
- Manage the client onboarding process — intake forms, kickoff scheduling, document collection, and initial environment access coordination
- Track project milestones, deliverable timelines, and client communication touchpoints across all active engagements
- Draft and send client status updates, follow-up emails, and post-engagement check-ins
- Maintain our project management system (ClickUp, Notion, or equivalent) — task tracking, status boards, engagement documentation
- Support proposal and contract coordination — formatting, routing for signatures, filing in our CRM
- Identify and build internal processes where gaps exist — onboarding checklists, engagement templates, communication workflows
- Support invoicing coordination and accounts receivable tracking alongside the founder
What we're looking for
Required
- 2+ years of experience in a client-facing coordination, operations, or account management role
- Exceptional written communication — your emails and updates represent the company
- Demonstrated experience managing multiple workstreams or projects simultaneously without dropping details
- Comfortable working with project management tools (we use a modern stack — you should be adaptable)
- Self-directed — you identify what needs to be done without being asked for everything
Nice to have
- Prior experience at a consulting firm, MSP, or professional services company
- Familiarity with cloud tools — you don't need to configure them, but understanding the landscape helps
- Experience building or improving internal operational processes at a small company
